Writing Recommendations
In completing nomination forms or applications for most scholarship and award programs, there is usually a request for recommendations. Each program has its own guidelines for what to include in the recommendations, but below are some general resources to assist students, parents, faculty and others in putting together the most effective recommendation for deserving students.
How to Win a Scholarship from NASSP
Question: How can our school select a nominee who will win one of the scholarships available from the national office? We've been sending our nominees for years and we've never had a winner! [Please share the response below with your scholarship nominees or scholarship committee this year.]
Answer: There are many suggestions that we can make when submitting nominations for the two major scholarships administered by the NASSP Department of Student Activities, the Principal's Leadership Awards and the NHS National Scholarship.
First, be certain that you are using the most recent edition of the scholarship nomination forms. The forms are revised and updated annually and are posted on the Web for easy access (only advisers for NHS can access the NHS forms through the "Adviser Zone" on www.nhs.us ). Do not use forms from previous years - it can lead to disqualification of your nominee. PLA is mailed to principals each October, and NHS is mailed to NHS advisers each November.
The NHS Scholarship and Principal's Leadership Award (PLA)* programs are designed to identify well-rounded nominees. This is achieved when mental, physical, social, and spiritual development are all present through a nominee's documented involvement in academics, the arts, athletics, and student activities.
- While it should go without saying: Follow the directions as noted on the nomination forms.
- Information provided by and about nominees on their nomination forms should clearly demonstrate their superlative qualities.
- When referencing activities, avoid using unknown abbreviations wherever possible - national organizations are widely known, but state-based or local groups are not.
- Be sure that the program administration fee (as identified on the form) is paid and included in the nomination packet along with all other requested materials, that the packet is sent on time, and sent to the correct company address found in the materials (SPA in Nashville, Tenn.). These programs are not designed as money-makers for either the sponsor or the administering association - the nomination fee simply covers existing administrative costs of the program and allows us to maximize the number of awards each year using the finite financial resources made available for these scholarships.
- Complete the nomination form thoroughly, paying special attention to obtaining all of the required signatures (student, adviser, principal).
- Provide effective recommendations, ones that don't merely restate information found elsewhere on the form, but do give insight to the character of the nominee. The scholarship committees are groups of secondary school principals and advisers who respect the recommendations provided by their peers.
- If your nominee has more activities than can fit in the space provided, those activities listed should be the best activities that support the nomination and reflect the well-rounded nature of the nominee.
- Encourage all potential nominees to perform significant service for the school or the community that speaks to an important local concern and creates visible results.
- Compose a well-written and effective response to the narrative assignment; always check for correct spelling and grammar - the readers are educators, after all.
- Overall, see that the form submitted is neat, organized and well thought out. Completing a rough draft and having it scrutinized by a staff member at the local level prior to submission is perfectly acceptable and ensures accuracy as well as thoroughness of the nominee's presentation.

Procedural note regarding the selection of winners: All nominees are judged against other nominees from their state and from schools of similar size within the state (small, medium, large, extra-large schools as defined in the nomination packet). This component of the selection process allows students to compete fairly against peers from similar educational circumstances.
These scholarships are merit-based and not based upon need.
Nomination packets are distributed each fall to all principals and NHS chapter advisers; deadline for submission is in early December for PLA, and in late January for NHS each year. Annual deadlines are printed on the nomination forms - please check the dates carefully so that your school's nominations are submitted in a timely manner. Selection is completed by April and winners are notified by letter in May each year. Lists of winners for both programs from the previous year are also posted on the Web site.

Writing Recommendations for Students
Every year, teachers, administrators, and especially Honor Society advisers receive many requests to complete recommendations for their students for the college admissions process, for scholarships, for employment, or to participate in important programs for students.
A wide variety of resources exist in the field to assist educators in completing this important task. For scholarships offered by NASSP, we provide a list of suggestions entitled "How to Win a Scholarship from NASSP" that includes some tips on writing recommendations for our programs.
From several resources, we offer the following additional suggestions.
- Be specific. Avoid generalizations, clichés, and unexplained superlatives. Accompany positive comments with evidence to support them. Be focused and specific in your commentary.
- Provide new information rather than repetitive detail. Don't simply reiterate facts that are provided elsewhere on an application form. Redundancy merely wastes the time of the reader as well as the writer. Consider asking the student to answer some key questions or write an essay on aspects of his or her life that you'd like to reflect on in your recommendation.
- Help the reader visualize the individual. Be sure you know enough about the student to be able to present the individual accurately with an accent on the positive. Relate first-hand, unique experiences that portray the essential features of the student. Develop for the reader, through the content, a good understanding of who the individual is. Help put the student's experiences in perspective for the reader to create a full understanding of the qualities being described.
- Don't hesitate to include reference to weaknesses to create confidence in the dependability of the recommendation. In essence, don't assume that the reader will read between the lines by leaving out essential information that helps present an honest portrayal of the student.
- Neatness counts. Make certain that your recommendation is neat, typed, and free of errors.
- Keep copies of your recommendations as backup against lost copies or for use by comparison for future writing.
Finally, consider creating a file for this article and other resources regarding how to write recommendations. Your guidance office may already possess this information. Every teacher, at some point in their career, will be asked to provide recommendations and having a professional resource available to assist in the task would be a great service that you or your chapter could provide for the faculty.

Getting Recommendations
Two letters of recommendation are usually required for most college admissions applications. Request recommendations from people who know your strengths. Teachers and counselors are usually the best choices. An employer or community leader can be another option if he or she knows you well and can emphasize your good qualities and achievements.
Ask for recommendations early so there is enough time to get them in comfortably before the deadline. It's considerate on your part. It's also smart - waiting until the last minute may not allow the recommender enough time to do you justice and will cause you both unnecessary stress.
Additional tips for requesting recommendations: Give your recommender a deadline, allowing at least two weeks to complete the letter.
Provide the recommender with a stamped envelope addressed to the school.
Provide a list of your activities and awards to facilitate the writing process.
Send thank you notes to your recommenders.
Let recommenders know your application results.
Writing Essays This is your opportunity to show how unique you are to colleges. Essay questions on applications help admissions officers understand your motivations, creativity, and personality. That's why it is important to start writing your essays as early as possible.
Make your essays personal, but stay within the guidelines and carefully answer the questions.
Don't be intimidated by essay questions.
Sometimes the best answers are those that you can write quickly because you feel strongly about the question. If you labor for too long, you may be answering the wrong question for you. Remember to strike a balance on time: don't take a month to write an essay, but don't throw something together without thinking about it.
Writing Tips To strengthen your essay:
- First make an outline to organize your thoughts.
- Give special attention to creating a strong introduction, supporting arguments, and an appropriate conclusion. Every story has a beginning, middle, and end.
- Revise as necessary. Ask others for their feedback (but don't ask them to write it)
- Proofread the final version before sending it.

Resources for Writing Recommendations: Care if Highly Recommended

One of my former college professors used to joke that he wrote, "I can't recommend this student too highly" in letters of recommendation and let the readers interpret what he meant. At least I think he was joking. Either words are inadequate to describe this outstanding student or, conversely, there simply isn't much good to say. Take your choice.
Ambiguous statements like that are confusing, but one thing is perfectly clear: If you are a college-bound senior, recommendations can impact your future.
Who writes recommendations for college admission? Your guidance counselor for sure. Almost every application has a form for the guidance counselor to complete. Often counselors must rank students' motivation, responsibility and difficulty of curriculum. Yep, those courses count. Ideally the guidance counselor should be able to say that you took an appropriately challenging class load.
What if you don't know your guidance counselor well or the counselor is new to your school? Many counselors are responsible for as many as 300 students. If you are not at the top of the class or you are not in danger of failing, your counselor may not have had time to haul you into the office to talk one-on-one about college. If your guidance counselor doesn't know you well, you should take the initiative and make an appointment. If your counselor is new to the school, it's especially important that you make the effort to have a personal conversation about your goals, concerns and questions.
If your English teacher hasn't required you write a resume, do one yourself. Many counselors like to keep a copy of students' resumes in their offices for a quick overview. Besides, the resume is a great pre-application exercise. You will be able to transfer much of the info on your resume right to your applications.
Some colleges require an additional recommendation or two, and you will get to choose who writes those. Choose wisely. First, the person who writes a recommendation should know you well in a "professional" capacity. The person could be a teacher, school administrator, employer, adviser or coach. Even better if the reference has worked with you in more than one capacity (for example, teacher and National Honor Society adviser). A pastor or youth group leader can serve as a character reference. Christian colleges often require a pastoral reference. If you have been involved in local service projects or in a community organization, a community reference can be an asset. A family friend reference is less valuable. This person likes your family but has no "professional" relationship to you. The letter that says "I've known Johnny's parents for years, and he comes from such a wonderful family" doesn't do much for you.
Next, be sure the person you select really has positive feelings about you and can write specifically about your qualities, activities, and goals. Think carefully. If you have not worked hard in a teacher's class or you haven't done your share in an organization, that teacher or adviser won't be a good choice for you.
Last year I served on two scholarship committees. Applicants had to submit a recommendation with the applications -- a simple checklist plus a few lines for comments. For both scholarships, one applicant submitted recommendations from the same teacher. Obviously the kid thought this person would say positive things. She was wrong. In both cases, the teacher said that the student did not work up to her potential and was irresponsible, and in both scholarship selections, the student's application went to the bottom of the stack. Too bad. This student did not choose wisely. She obviously had no idea how this teacher really felt about her.
Finally the person you choose should be able to write. No, not everyone can do that. Most folks can complete the simple recommendation forms, but save the letters for those who have writing skill. Also select someone who will do more than what I like to call the "general good kid letter."
This letter says that the student is generally cooperative, generally does above-average work and generally is liked by all. In other words, the recommendation says nothing specific about the student and is generally worthless. Be sure that the person you choose will take time to write specifics about you -- and offer that resume when you request the recommendation.
Confidentiality is important in recommendations. Most recommendation forms will ask if you waive your right to have access to the recommendation. The answer should always be "Yes." If you refuse to waive your right to see the recommendation, you will make it worthless, and you certainly will show lack of confidence in your reference. Most writers will simply mail the letter or form on their own, but if one is returned to you in a sealed envelope, don't be tempted to peek. Recommendations must be confidential.
Because the person writing for you is doing you a favor, be as courteous and accommodating as possible. Ask for the recommendation early -- preferably two weeks before you need it. Be specific about when the letter is due. Just as you shouldn't dash off your college application essay at the last minute, you shouldn't expect someone to write a last-minute letter for you. Hurried writing usually isn't the best writing, and you want your recommendation to be quality.
Also provide the writer with any information that he or she should include. This is especially true if the recommendation is for a scholarship. What are the criteria for getting the award? Be sure the letter writer knows that information so that the recommendation can explain how well you meet those criteria. Give this information to your reference in writing. If the recommendation form requires personal information about you (name, address, etc), fill in that information before you give the form to your reference.
Provide an addressed, stamped envelope if the writer is to mail directly. Your reference shouldn't have to pay postage. If the letter is to be returned to you or to the counselor for mailing, provide an envelope with your name and the name of the college or the scholarship on the front. Ask the writer to put the letter in this envelope and write his or her signature across the flap to ensure confidentiality.
Politely remind your reference as the due date for the letter approaches. You can do this by writing a thank-you note or verbally thanking your writer for preparing the recommendation. Your gratitude not only is polite, but also will jog your writer's memory if he or she hasn't completed the letter yet.
You should have at least three people to whom you can turn for letters of recommendation, but the nice part is that you can turn to these folks more than once. Most writers save their work on their computer, so it doesn't take nearly as long for the writer to prepare a second letter for you. Granted, your reference will need to change some details to make the letter fit a particular college or scholarship, but once the basic recommendation is complete, the writer can make those changes quickly.
Should you send more than the required number of recommendations? While you might be tempted to beef up your application with additional letters of support, most of the time that's unwise. As one admissions director put it, "the thicker the file, the thicker the kid." References are important, but they usually won't compensate for poor grades and weak test scores. Send what's required.
I hope that you have established yourself as a good student who is positively involved at school -- someone who is easy to write about. Keep in mind, that this isn't the last time you'll be asking for recommendations. As a college senior, you will turn to faculty to do recommendations for you as you pursue graduate school or the job market.
As you begin your college career, realize that you will need to "cultivate" some brand new references. That means you have to get to know your professors well. Don't be the anonymous kid in the back of the large lecture section. Sit in the front; make eye contact; introduce yourself to your professors. Make such a positive impression that there will be no doubt what the professor means if he or she writes about you, "I can't recommend this student too highly."
